1.0 Introduction

ISL Engineering and Land Services Ltd. (“ISL,” “we,” “our,” or “us”) is committed to protecting the privacy of our employees and authorized users. This Privacy Policy explains how we collect, use, store and protect personal information through the ISL Core mobile and web application (“the App”).

ISL Core is an internal business application platform available exclusively to ISL employees and authorized personnel, providing tools that support day-to-day work activities and business operations.

By using ISL Core, you acknowledge and agree to the collection and use of information as described in this Privacy Policy.

2.0 Information We Collect

We collect the following categories of personal information when you use ISL Core:

2.1 Account and Identity Information

Name and employee ID
Work email address
Job title, department and office location
Authentication credentials managed through ISL’s identity provider

2.2 Location Data

Device location when using location-enabled features of the App
Location metadata associated with work activities and submissions
Location is collected only when the App is actively in use and a feature requires it

2.3 Usage and Analytics Data

App interaction data such as features used and session activity
Device information including operating system, device model and app version
Crash reports and error logs to support App stability

2.4 Work Content and Audio Data

Business content you enter into the App including records, forms, tasks and reports
Audio recordings and the transcribed text generated from them, when you use audio capture features
Audio data is used solely to produce transcriptions and is not used for any other purpose

3.0 How We Use Your Information

ISL uses the information collected through ISL Core to:

Authenticate your identity and provide access to App features
Support core business operations and productivity tools within the App
Process and store work content, records and submissions you create
Generate business reports and support operational decision-making
Send push notifications related to work activity, approvals and system alerts
Maintain App performance, diagnose issues and improve reliability
Comply with ISL’s internal policies and applicable legal obligations

4.0 Push Notifications

ISL Core may send push notifications to your device regarding work activity, task updates, approvals and system alerts. You may manage notification preferences through your device settings at any time. Disabling notifications may limit certain App functionality.

5.0 Third-Party Services and Cloud Infrastructure

ISL Core relies on secure, enterprise-grade cloud infrastructure to store and process data. Your information is hosted within ISL’s managed cloud environment, which is subject to ISL’s enterprise agreements and the applicable privacy and security commitments of our infrastructure providers.

ISL does not use third-party advertising networks or share your personal information with third parties for marketing purposes. We do not sell your data.

6.0 Artificial Intelligence and Third-Party Processing

ISL Core uses third-party artificial intelligence services to enable certain App features. Specifically:

Audio recordings are transmitted to Deepgram for the purpose of generating text transcriptions
Business content including summaries, questions and work-related information may be transmitted to OpenAI for the purpose of AI-assisted processing and responses

Data transmitted to these services is used solely to provide the requested feature. ISL takes reasonable steps to ensure that third-party AI providers handle your data in accordance with applicable privacy requirements and ISL’s data governance standards.

By using AI-powered features within ISL Core, you acknowledge that certain content may be transmitted to these third-party services for processing.

7.0 Data Storage and Security

All data collected through ISL Core is stored within ISL’s secure cloud environment. ISL employs industry-standard security measures including:

Encryption of data in transit using TLS (Transport Layer Security)
Encryption of data at rest within our cloud storage environment
Access controls and role-based permissions tied to your ISL credentials
Regular security monitoring and vulnerability assessments

While ISL takes reasonable precautions to protect your information, no data transmission or storage system is completely secure. If you believe your account has been compromised, contact ISL IT support immediately.

8.0 Geographic Availability and Data Location

ISL Core is primarily intended for use by ISL employees within Canada. Authorized users may access the App when outside of Canada, such as when travelling for work or personal reasons. In all cases, data is handled in accordance with this Privacy Policy.

ISL does not make the App available to unauthorized individuals. If you access the App from outside Canada, you are responsible for compliance with local laws applicable to you.

9.0 Children’s Privacy

ISL Core is intended solely for ISL employees and authorized personnel. The App is not directed at individuals under the age of 18 and does not knowingly collect personal information from minors. Access requires valid ISL employment credentials.

10.0 Data Retention

ISL retains personal information collected through ISL Core for as long as necessary to fulfil the purposes described in this Privacy Policy and to meet ISL’s operational and legal obligations, in accordance with ISL’s records retention policies.

Upon termination of employment, access to ISL Core is revoked. Personal data associated with your account will be retained or disposed of in accordance with ISL’s data governance policies and applicable law.

ISL Core does not currently offer a self-serve account or data deletion option within the App. Data deletion requests must be submitted to ISL using the contact information in Section 12.

11.0 Your Privacy Rights

As an ISL employee and authorized App user in Canada, you have the following rights with respect to your personal information, subject to applicable law:

Right of access you may request a copy of the personal information ISL holds about you
Right to correction you may request that inaccurate or incomplete information be corrected
Right to withdraw consent where processing is based on consent, you may withdraw it at any time, which may affect your ability to use certain App features

To exercise these rights, please contact ISL’s IT team using the contact information in Section 12. ISL will respond in accordance with the Personal Information Protection and Electronic Documents Act (PIPEDA) and applicable provincial privacy legislation.

12.0 Changes to This Privacy Policy

ISL may update this Privacy Policy from time to time to reflect changes in our practices, technology or legal requirements. When we make material changes, we will notify users through the App or via your ISL email address. We encourage you to review this Policy periodically.

Continued use of ISL Core following notification of changes constitutes acceptance of the updated Privacy Policy.
